This Privacy Policy explains how we process personal data when you visit whiteamber.eu, contact us, request information about our wholesale products, or subscribe to our newsletter. It applies to visitors, business contacts and representatives of business customers.

Data we collect

We may receive your name, business name, email address, telephone number, country, message and other information you choose to include in a contact form or email. When you subscribe to updates, we collect your email address, subscription record and unsubscribe or preference actions. We also receive technical data such as IP address, browser and device information, pages viewed, timestamps, referral information and security logs where this is generated by the website or hosting provider.

Please do not send special-category or confidential personal information through the website contact form.

Purposes and legal bases

We use inquiry data to respond to a request, prepare or discuss a wholesale relationship, and take steps at your request before entering a contract. The legal basis is Article 6(1)(b) GDPR where you are an individual customer or representative acting for a prospective contract, and Article 6(1)(f) GDPR for legitimate business communications with a company contact.

We use business records, invoices and correspondence to perform contracts, prevent fraud, resolve disputes and comply with accounting, tax and other legal obligations. The bases are Article 6(1)(b), (c) and (f) GDPR as applicable.

We send newsletters only where we have a valid consent or another lawful basis permitted by applicable marketing law. You can unsubscribe at any time using the link in a message or by emailing us. Withdrawing consent does not affect earlier processing.

We use essential technical and security data to operate and protect the website. Non-essential analytics or marketing technologies are used only with the required consent, as described in the Cookie Policy.

Recipients and transfers

We may share relevant data with website hosting, form, email/newsletter, IT, CRM, logistics, accounting, legal and professional service providers acting on our instructions or where required by law. We do not sell personal data.

Some providers may process data outside the EEA. Before making such a transfer, we use an adequacy decision or appropriate safeguards such as the European Commission's Standard Contractual Clauses, together with any required supplementary measures.

Retention

We keep inquiry and business correspondence for 2 years after the last meaningful contact, unless a longer period is needed for a contract, legal claim or legal obligation. Accounting and tax records are retained for the period required by applicable law. Newsletter data is kept until you unsubscribe or the subscription becomes inactive, followed by suppression or deletion as appropriate. Security logs are retained for 2 months.

Your rights

Subject to GDPR conditions, you may request access, correction, erasure, restriction, portability, or object to processing based on legitimate interests. Where processing is based on consent, you may withdraw it at any time. To exercise a right, email cocoa@whiteamber.eu with enough information for us to identify your request. You may complain to the competent supervisory authority, including the authority in your habitual residence, place of work or the place of the alleged infringement.

We may need to verify identity, and we normally respond within one month. We do not use solely automated decision-making that produces legal or similarly significant effects about website contacts.

Children and changes

The website is intended for business audiences and is not directed to children. We may update this Policy when our processing or legal obligations change. The current version is published on this page.
